I use secure, GDPR-compliant third-party tools to store and process your data:

4. Eventbrite – event registrations
5. Tutor LMS – course access and progress tracking
6. Google Forms & SharePoint – contact collection, internal storage
7. BACS & Stripe – payments
8. Social Media Chats – only when initiated by the client
9. Zoom – meetings, verbal/chat records (with consent)

7. Data Retention

1. Client records are retained for up to 6 years (for legal and accounting purposes).
2. Non-client enquiries are kept for up to 12 months.
3. Data deletion practices are reviewed annually.

This retention policy is scheduled for a full review in November 2025, following a new company registration in November 2024.  This is the responsibility of Kay Reeve to update and upkeep data in line with this policy.

8. Your Rights Under GDPR

You have the right to:

3. Request deletion of your data (where legally permitted)
4. Restrict or object to certain types of processing

2. Encrypted cloud storage (e.g., SharePoint)
3. Access restricted to Kay Reeve only*

5. Webroot security - installed and maintained for laptop and cloud

*Web updates i.e. courseware & online shop, are the exception (single person) where names and emails may inadvertently be seen on the back-end dashboard, but never accessed, used, copied, or violated in any other form by trusted party, sole-trader, DayBuild Websites, under protection of their own privacy policy.

10. Cookies and Tracking

Cookies are files with small amount of data that is commonly used as an anonymous unique identifier. These are sent to your browser from the website that you visit and are stored on your computer's hard drive.

Our website uses these "cookies" to collection information and to improve our Service. You have the option to either accept or refuse these cookies, and know when a cookie is being sent to your computer. If you choose to refuse our cookies, you may not be able to use some portions of our Service.

1. This website uses Google & Bing Analytics to gather anonymous website usage data.
2. Consent is requested via a cookie banner when you visit the site.
3. Courseware tools use internal tracking for progress, notes, and file uploads relevant to your individual learning experience.
4. Wincher SEO optimizer may track visits, pages, and clicks to the site, not within the site, with no access to further information.

11. Policy Review and Availability

This Privacy Policy is a living document and is reviewed and updated regularly. Each section may carry individual update notes.

After 12 months, updates will be consolidated, and prior dates will be removed.

It is your responsibility to review this policy as needed to remain aware of your rights and how your data is handled.

12. Account and system removal:

You can access and delete your online accounts or unsubscribe at your convenience.

To request full removal of your details from all systems, please email info@temp-kay-reeve-old-co-uk.stackstaging.com with the reason for your request. Please note that some data (e.g., financial records) must be retained for legal reasons for up to 6 years.

Kay Reeve and kayreeve.co.uk are not responsible for removing your data from third party software such as Eventbrite, Zoom accounts, or other, where a third-party login has been created.

13. Links to other sites:

The website may contain links to other sites. If you click on a third-party link, you will be directed to that site. Note that these external sites are not operated by myself. Therefore, I strongly advise you to review the Privacy Policy of these websites. I have no control over, and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

14. Account and system removal:

My Services do not address anyone under the age of 13. I do not knowingly collect personal identifiable information from children under 13. In the case I discover that a child under 13 has provided personal information, I immediately delete this from the databases and serves as necessary, and unsubscribe any accounts or newsletters. If you are a parent or guardian and you are aware that your child has provided me with personal information, please contact me via the contact form so that I can perform the necessary actions.
